# Bakery & Patisserie Cake Orders, Decorating & Collection Checklist

A custom cake order that is wrong, late or uncollected is a **100% loss with a refund on top** - it cannot be sold to anyone else. These 9 checks cover taking the order once and correctly, decorating without spreading allergens (cross-contact), and getting the cake labelled and collected. Two evidence points drive the design: cakes are the worst-performing gluten-free Bakery & Patisserie format, with 66.7% of gluten-free cakes tested exceeding the 20 ppm threshold, and across all 914 FDA major-allergen recalls with a known root cause - the category Bakery & Patisserie leads at 31.5% - 71.1% were labelling-related.

### Take the order once, take it right

**1\. Read back the name, contact details, pickup date and time, size, flavor, and exact wording; have the customer sign the order slip** Every custom cake is made for one buyer. Get one detail wrong, and you can't sell that cake to anyone else.

**2\. Record every allergy the customer tells you on the order slip, the kitchen ticket, and the box label** An allergy noted at the counter but not passed on to the kitchen is exactly how a labelling mistake happens - and it's preventable.

**3\. Take a deposit and log the order in one shared book or system** Orders kept only in one person's head go missing on their day off. An order with no deposit and no show-up is a total loss. No published data exists on custom-order error rates, so this check creates that data for you.

### Decorate without cross-contact

**4\. Make gluten-free and nut-free cakes first, on cleaned surfaces, using tools and tins used only for those cakes** Cakes are the worst bakery item for cross-contact. Making them first thing in the day is the method that actually works.

**5\. Check the allergen label on every decoration, topper, filling, and coloring before it goes on the cake** The cake itself is usually not the problem. The bought-in decoration, ganache, or topper is where an undeclared milk, soy, or nut allergen usually comes from.

**6\. Return cream and fresh-dairy-filled cakes to 0–5°C (32–41°F) between decorating steps** A cake that sits out through three decorating steps has already spent hours at an unsafe temperature before it even reaches the customer.

### Track every cake until it's picked up

**7\. Label the finished cake with the customer's name, pickup date and time, and the full ingredient and allergen list** The label is the last check before the cake leaves the shop, and it's what an inspector or an allergic customer will read.

**8\. Confirm the order with the customer before pickup, and follow up on uncollected cakes the same day** An uncollected cake can't be sold at full price by tomorrow. Most cream-filled items last under 5 days, so a reminder call can save the sale, but a day of silence means it gets thrown out.

**9\. Log every order mistake and its cause, and review the list every week** Wrong date, wrong wording, missed allergy - the same mistakes keep happening until someone writes them down.

## Frequently asked questions

**What should be on a custom cake order form?**

Name, contact, collection date and time, size, flavour, exact inscription, and every declared allergy - read back to the customer and signed. The allergy has to travel from the order slip onto the production docket and onto the box label; an allergy captured at the counter but not carried to the bench is exactly how a preventable labelling failure happens, and labelling accounts for 71.1% of allergen recalls with a known root cause. Take a deposit and log the order in one shared system, not in one person's head.

**How do you make a gluten-free cake safely in a shared bakery?**

Make it first in the day, on cleaned-down surfaces, with dedicated bowls, blades, tins and prover shelves. Cakes are the worst gluten-free format for cross-contact: in testing of 130 gluten-free-labelled bakery products from 25 bakeries, 21.5% exceeded the 20 ppm gluten threshold overall, but 66.7% of cakes were contaminated, versus 31.8% of biscuits and 8.3% of cheese bread. 64% of the bakeries sold at least one contaminated product.

**How often do bakeries get custom cake orders wrong?**

Nobody knows - and that is a real gap. We could not find error-rate data for custom cake orders (wrong collection date, wrong inscription, missed pickup, lost order) in inspection datasets, trade bodies or peer-reviewed literature anywhere. The checklist logs every order error and its cause so you build that number for your own shop within weeks. What is documented is the safety side: cream and fresh-dairy-filled cakes need to return to 0–5°C (32–41°F) between decorating steps, because all of the unacceptable samples in FSAI's 997-sample survey contained fresh cream, custard or soft cheese.
